GDPR requires that processing stay tied to a lawful basis and be limited to what is necessary for the stated purpose.

  • recruiting workflow insights.

  • from forms, resumes, profiles, and materials you submit;
  • from employers and employer team members using the Services;
  • from referrals and referral participants;
  • from public professional sources you choose to link or provide;
  • from service providers supporting authentication, communications, storage, AI processing, analytics, enrichment, calendaring, and recruiting operations;
  • automatically through cookies, analytics, logs, and similar technologies.

6. How We Use Personal Information

We may use personal information to:

  • create, authenticate, and manage accounts;
  • operate the recruiting platform and related recruiting services;
  • build and maintain candidate and employer profiles;
  • process hiring requests;
  • facilitate candidate-employer matching;
  • present candidates to employers;
  • coordinate interviews;
  • collect and manage recruiting feedback;
  • support offer and placement workflows;
  • communicate by email, SMS, and other channels;
  • verify consent and maintain communication preferences;
  • improve platform functionality, service quality, and workflow efficiency;

  • maintain security, logging, fraud prevention, and abuse prevention;

7. Legal Bases for Processing

Where GDPR, UK GDPR, or similar law applies, iRecruit.co may rely on one or more of the following legal bases:

  • performance of a contract;
  • taking steps at your request before entering a contract;
  • legitimate interests, including operating a recruiting platform, providing recruiting services, improving matching quality, maintaining security, and supporting employer and candidate workflows;
  • compliance with legal obligations;
  • consent, where required or where iRecruit.co chooses to rely on it, including certain SMS communications and certain processing of sensitive data.

GDPR requires that organizations identify a lawful basis and clearly explain it in their privacy notice.

8. AI-Assisted Matching and Human Review

iRecruit.co may use AI-assisted tools, machine learning, embeddings, similarity analysis, ranking systems, and automation to help:

  • organize candidate and employer data;
  • identify potentially relevant matches;
  • generate fit explanations;
  • prioritize records for recruiter review;
  • improve search and workflow efficiency.

AI-assisted outputs may be shown internally to iRecruit.co personnel and, in some cases, surfaced within candidate or employer experiences as explanatory or assistive features.

However, iRecruit.co does not intend to make final employment, placement, or similarly significant decisions based solely on automated processing without meaningful human involvement, unless permitted by applicable law. Material recruiting and hiring actions are intended to remain subject to human review by iRecruit.co personnel and/or employer decision-makers. The European Commission states that individuals should not be subject to solely automated decisions that are legally binding or similarly significant absent a valid exception.

9. SMS, Email, and Communications

iRecruit.co may send:

  • account and service notifications;
  • interview coordination messages;
  • recruiting workflow updates;
  • support messages;
  • transactional communications;
  • limited customer upsell or service-related marketing communications where permitted by law.

If you provide a mobile number and opt in through iRecruit.co signup or consent flows, you agree that iRecruit.co and its providers may send you SMS messages related to the Services. Message frequency may vary. Message and data rates may apply. Consent is not a condition of purchase.

iRecruit.co retains records of consent and opt-out requests. Twilio states that proof of opt-in consent should be retained, and its U.S. messaging guidance emphasizes that merely entering a phone number is not necessarily enough for compliant recurring-message consent; opt-ins must be clear, with opt-out instructions supported.

A. Employers and employer users

Candidate information may be shared with employers only when a candidate is active and iRecruit.co shares that candidate as a potential match with an employer. Candidate visibility is curated and recruiter-mediated. Employers generally view curated candidate presentations rather than unrestricted database access.

B. Candidates

We may share opportunity-related, scheduling, workflow, and communications information with candidates as needed to provide the Services.

C. Service providers and subprocessors

We may share personal information with providers that help us operate the Services, including providers for:

  • communications and messaging;
  • cloud hosting and storage;
  • website hosting;
  • analytics;
  • AI processing;
  • enrichment and identity/professional data;
  • email delivery.

Based on your current instructions, providers may include:

  • Twilio;
  • Google Cloud;
  • Webflow;
  • OpenAI;
  • Anthropic;
  • People Data Labs;
  • SendGrid;
  • Gemini;
  • Google Analytics.

D. Professional advisors and legal authorities

We may share personal information with legal advisors, auditors, insurers, regulators, law enforcement, courts, or other parties where required by law or reasonably necessary to protect rights, safety, or property.

E. Corporate transaction counterparties

We may share personal information in connection with an acquisition, merger, financing, due diligence process, reorganization, sale of assets, or similar transaction, subject to appropriate safeguards.

11. Candidate Sharing, Visibility, and Privacy Controls

Candidates may be visible to more than one employer at different times as part of iRecruit.co’s recruiting services. Candidates may also block specific employers from seeing their profile where that functionality is offered.

Employers may be able to download resumes and review curated candidate information when iRecruit.co presents a candidate as part of a recruiting workflow.

iRecruit.co administrators may use controlled impersonation or administrative-access features to support employer accounts, troubleshoot workflows, or deliver recruiting services. Those actions may be logged internally for security and accountability purposes. GDPR transparency guidance requires explaining recipients and relevant access to personal data in the privacy notice.

12. Cookies and Analytics

iRecruit.co uses cookies and similar technologies for:

  • authentication;
  • session management;
  • platform functionality;
  • analytics and performance measurement.

At this time, you indicated the primary analytics tool is Google Analytics, and that iRecruit.co is not using ad pixels, cross-context behavioral advertising tools, or similar retargeting tools.

13. Data Retention

iRecruit.co retains personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy, including to:

  • provide the Services;
  • maintain accounts and recruiting records;
  • support reactivation or continued recruiting engagement;
  • comply with legal, contractual, tax, accounting, and recordkeeping requirements;
  • enforce agreements and resolve disputes;
  • maintain security and backup systems;
  • document communication consent and opt-out history.

Retention periods vary based on the nature of the information, the user relationship, recruiting workflow needs, legal requirements, and the legitimate interests of maintaining accurate and useful recruiting records. GDPR transparency rules require disclosing either retention periods or the criteria used to determine them.

14. International Data Transfers

iRecruit.co offers services on a global basis and may process personal information in the United States and other countries where iRecruit.co or its service providers operate.

Where required by applicable law, iRecruit.co will rely on appropriate transfer mechanisms for cross-border personal data transfers, including Standard Contractual Clauses or another lawful transfer mechanism where applicable. The European Commission states that transfers of personal data outside the EU require an adequate safeguard or another lawful transfer basis where no adequacy decision applies.

iRecruit.co uses administrative, technical, and organizational safeguards designed to protect personal information appropriate to the risk, including role-based access controls, internal logging, access restrictions, and vendor-supported security measures.

No system can guarantee absolute security. The GDPR requires organizations to implement security measures appropriate to the risk and to maintain confidentiality, integrity, and accountability.

iRecruit.co provides a privacy policy and should also provide notice at or before collection where required. CPPA materials explain that businesses subject to the CCPA generally need both a Notice at Collection and a Privacy Policy.

  • iRecruit.co does not use ad-tech or cross-context behavioral advertising tools in a way intended to constitute “sharing” for cross-context behavioral advertising.

The Services are intended for adults engaged in professional recruiting and hiring activity. Individuals under 18 may not use the Services.
